The short version

Your data stays on your device. Events, family members, and notes are stored locally. We don't run a database of your family's schedule.

Invitation photos are processed by AI. When you scan an invitation, the image — along with your family members' first names and ages, so the AI can suggest who should attend — is sent to Google's AI service to extract event details, then discarded. We don't store your photos. The same applies when you type or dictate an event: your words plus a little family and schedule context go to our AI partner. See Section 2.

1. Who We Are

Clarely LLC ("Clarely," "we," "us," or "our") is an Ohio limited liability company. We operate the Clarely mobile application and the website at getclarely.com. This Privacy Policy describes how we collect, use, and handle information when you use our service.

2. Information We Collect

Information you enter directly

When you use Clarely, you provide information including:

  • Family member names and birth dates
  • Event details — dates, times, locations, notes, RSVP status
  • Caregiver and contact names
  • Custody schedule preferences
  • iCalendar feed URLs you choose to subscribe to

This information is stored locally on your device using your device's storage. It is not transmitted to Clarely's servers except as described in Section 3.

Invitation images

When you use the invitation scanning feature, you provide a photograph or screenshot of an invitation. This image is transmitted — through our secure proxy — to a third-party AI service (currently Google LLC's Gemini service) for the purpose of extracting event details. To help the AI suggest which family members an invitation is for, we also send your family members' first names, family roles (e.g. parent or child), and ages (when you have entered a birth date or age) alongside the image. We do not send last names, contact details, or any other family data, and we do not store the image or this context on our servers. See Section 3 for more detail.

You may also send Clarely an invitation image from another app (for example, sharing a screenshot to Clarely from Photos or Messages via iOS's share sheet). In that case the image is stored briefly in a shared container on your device, picked up by Clarely the next time it becomes active, and then processed identically to a camera scan (sent to the AI service described above, no on-device storage of the image after pickup). Nothing leaves your device except the scan request, and no new third party is involved.

Natural language input

When you use the quick-add or voice-input features, the text you type or dictate is transmitted — through our secure proxy — to a third-party AI service (currently Groq, Inc.'s Llama 3.3 70B model) to parse event details. To help the AI interpret who and what you mean, we also send a small amount of context alongside your words: your family members' first names, and a brief summary of your current-day schedule (the names and times of events already on your calendar for today). When you use voice to edit an existing event, the details of that event (its name, time, and location) are sent as context too. When you dictate by voice, the audio is first transmitted to Groq's Whisper transcription service to convert speech to text before parsing. We do not send last names or contact details, and we do not store this audio, text, or context on our servers.

Address and location information

When you enter an address for an event or location, that address may be transmitted to a third-party mapping service (currently Mapbox, Inc.) to resolve coordinates and to estimate driving times. We do not collect GPS or device location data without your explicit consent.

Waitlist and contact information

If you join our pre-launch waitlist at getclarely.com, we collect your email address and the phone platform you selected (iPhone or Android) solely to notify you when the app is available on the platform you indicated, and to help us gauge demand for an Android release. We do not use this information for other marketing without your consent. Waitlist signups may be relayed to our operator via a third-party transactional email service (currently Resend, Inc.) to send a launch notification.

Subscription and purchase state

When you start a free trial, subscribe to Clarely, or restore a previous purchase, your subscription state (active / not active, expiration date, and which plan) is read into the app via a third-party subscription management service (currently RevenueCat, Inc.). Apple Inc. processes all payments — we and RevenueCat do not receive your payment card number or billing details. RevenueCat receives an anonymous identifier and the App Store transaction receipt for the purpose of verifying that your subscription is active. We do not link this identifier to your name, email, or family data.

Family data synchronization across your household

If you choose to share your household with another person (for example, a partner or co-parent, who may be in a separate household with their own iCloud account), your family data (events, family members, sitters, custody schedule, addresses) is synchronized to their device via Apple's CloudKit service. The data lives in a private CloudKit container in your iCloud account and is shared only with the people you invite. Apple does not have access to the unencrypted contents of this container — sensitive data is stored using Apple's end-to-end encryption (CloudKit "encryptedValues") on iOS 15 and later. Clarely has no server-side access to your CloudKit data; we never see the contents of your synced records.

Information we do not collect by default

We do not collect, except as you specifically opt in below:

  • Payment card numbers or billing information (Apple handles all payments)
  • GPS or real-time device location
  • Crash reports or error data from your device (off by default — see Section 5 for the optional opt-in)
  • Behavioral tracking inside the app
  • Contacts from your device's address book

Privacy-preserving analytics on getclarely.com

Our public marketing website (getclarely.com) uses Vercel Web Analytics to count pageviews and unique visitors. This is enabled by default for everyone who visits the site. It uses a daily-rotating hash of your IP address and browser to count you as a unique visitor without identifying you personally. No cookies are set, no cross-site tracking is performed, and no personal data is collected. We use this data to understand which marketing efforts work. This analytics layer is on our marketing website only — the Clarely app itself does not use it.

We do not use any of your information to train AI models, build advertising profiles, or sell to data brokers.

4. Third-Party Services

Clarely integrates with the following third-party services. Each operates under its own privacy policy, which we encourage you to review.

Google LLC (Gemini)

Used for AI-powered invitation image analysis. Images, together with your family members' first names, roles, and ages (used so the AI can suggest who an invitation is for), are transmitted through our proxy and processed according to Google's Privacy Policy.

Groq, Inc. (Llama 3.3 70B, Whisper)

Used for natural language parsing of quick-add input (Llama 3.3 70B) and for voice dictation transcription (Whisper). Your typed or dictated text and audio — together with a small amount of scheduling context (your family members' first names and a summary of your current-day events) — are transmitted through our proxy and processed according to Groq's Privacy Policy.

Mapbox, Inc.

Used for address geocoding and driving time estimates. Address strings are transmitted to Mapbox. See the Mapbox Privacy Policy.

Apple Inc. (App Store, Sign in with Apple, StoreKit, CloudKit, APNs)

Apple provides multiple services that Clarely relies on. App Store handles app distribution. Sign in with Apple handles authentication — Clarely receives an opaque Apple-issued user identifier; we do not see your Apple ID, email, or password. StoreKit handles all subscription billing — Clarely does not receive your payment card number or billing details. CloudKit hosts your family data in a private container scoped to your iCloud account, with sensitive fields stored using end-to-end encryption (iOS 15+ encryptedValues); Apple does not have access to the unencrypted contents. Apple Push Notification service (APNs) delivers silent push notifications that wake the app to sync data when your partner makes changes — Apple holds your device's APNs token; Clarely does not. See Apple's Privacy Policy.

RevenueCat, Inc.

Used to verify your App Store subscription status and to handle Restore Purchases. RevenueCat receives an anonymous identifier (generated by RevenueCat, not derived from your Apple ID) and your App Store transaction receipt; in return, it tells the app whether your subscription is active. RevenueCat does not receive your name, email, family data, events, sitters, addresses, or any content you have entered. Apple processes all payments; neither Clarely nor RevenueCat see your payment card information. See the RevenueCat Privacy Policy.

Vercel Inc.

Hosts our API proxy infrastructure and website. Request metadata (IP addresses, timestamps) may be logged by Vercel in accordance with Vercel's Privacy Policy.

Resend, Inc.

Used to deliver waitlist signup notifications to our operator. Your email address is transmitted to Resend when you join the waitlist. See the Resend Privacy Policy.

Functional Software, Inc. (Sentry) — only if you opt in

Sentry is an error monitoring service. We use it ONLY for users who have explicitly opted in via Settings → Privacy & Sharing → "Help improve Clarely". The toggle is off by default. When enabled, the app sends anonymized JavaScript error reports to Sentry — stack traces, the screen where the error occurred, and the UI actions you took immediately before. We do not send your name, email, family data, events, sitter information, addresses, or any content you entered. You can disable this feature at any time and we will stop sending reports immediately. 5. Optional Crash Reporting

To help us find and fix bugs, Clarely includes optional crash reporting via Sentry, a third-party error monitoring service. This feature is off by default.

When you enable crash reporting in Settings → Privacy & Sharing → "Help improve Clarely", the app will send anonymized error data to Sentry whenever an uncaught error occurs. This data includes:

  • The JavaScript stack trace (the technical sequence leading to the error)
  • The page or screen where the error occurred
  • Anonymous UI actions you took immediately before the error (called "breadcrumbs")
  • Your browser and device type (e.g., "iPhone, iOS 26.5")
  • The version of Clarely you are using

We explicitly do not send:

  • Your name, email, or any account-identifying information
  • Family members' names, ages, or birthdates
  • Event details, locations, or notes
  • Sitter or caregiver information
  • Authorization tokens or session identifiers
  • Any content you have entered into the app

You can disable crash reporting at any time. The same Settings toggle that turns it on turns it off. Once disabled, the app will not load Sentry on subsequent app launches and will send no further reports.

If you never enable this feature, none of this data leaves your device.

6. Shared Links and Public Views

Clarely allows you to generate shareable links — for nannies, co-parents, grandparents, or other caregivers — that provide a read-only view of specific schedule information. These links are not password-protected by default. Anyone with the link can view the associated information.

You are solely responsible for deciding who receives a shared link and for revoking links when access is no longer appropriate. Clarely does not monitor or log who accesses your shared links.

7. Children's Privacy

Clarely is designed to be used by adults managing schedules on behalf of their children — not by children directly. We do not knowingly collect personal information from children under the age of 13.

Information about minor children (names, birth dates, schedules) is entered by parents or guardians and stored on their device. It is not transmitted to Clarely's servers except as part of the AI processing flows described in Sections 2 and 3. Specifically, a child's first name and age may be sent to our AI partners as context when you scan an invitation (so the AI can suggest whether the event is for that child) or when you type or dictate an event that names them. We send only first names and ages for this purpose — never last names, contact details, or birth dates — and Clarely does not store this context on its servers. The AI partners' handling of data sent through our proxy is governed by their own privacy policies, linked in Section 4.

If you believe a child under 13 has created an account or submitted information without parental consent, please contact us immediately at privacy@getclarely.com.

8. Data Retention and Deletion

On-device data

All family and schedule data is stored on your device. You can permanently erase it at any time via Settings → Reset all data within the app. Deleting the app from your device also removes all locally stored data.

Waitlist email

If you joined our waitlist, we retain your email address until you ask us to remove it or until we have sent the launch notification and a reasonable period has passed. To be removed, email privacy@getclarely.com.

Third-party retention

Data transmitted to third-party services (Google, Groq, Mapbox, Resend, Vercel, Apple, RevenueCat) is subject to those services' own retention policies. We do not control how long they retain request data.

9. Security

We take reasonable measures to protect information transmitted through our services. API keys that authenticate requests to third-party AI services are stored server-side in our Vercel proxy and are never included in the app binary or transmitted to your device.

No method of transmission over the internet or method of electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

10. Your Choices

  • Invitation scanning: Optional. You can add events manually without ever using the camera.
  • Quick-add / voice input: Optional. You can use the standard event form instead.
  • Location features: Address-based distance estimates are optional. No GPS data is collected.
  • iCalendar feeds: Optional. You control which external feeds, if any, you subscribe to.
  • Shared links: You control whether to generate links and who receives them.
  • Data deletion: Full reset available at any time in Settings.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, provide notice through the app or by email. Your continued use of the app after any change constitutes your acceptance of the updated policy.

We encourage you to review this page periodically.
